Credit Usage & Billing

Salestools uses a credit-based system for certain actions. This guide explains how credits work, what actions consume credits, and how to manage your usage.


Understanding Credits

Credits are the currency used for AI-powered actions and premium features in Salestools. Your subscription plan includes a monthly credit allowance that resets at the start of each billing cycle.

The following actions do not consume credits:

  • Viewing your dashboard and analytics
  • Managing campaigns and contacts
  • Importing contacts from CSV
  • Basic contact management

Viewing Your Credit Usage

Current Balance

  1. Go to SettingsBilling
  2. View your Credit Balance at the top
  3. See credits used this billing period
  4. View reset date for your monthly allowance

Usage History

  1. Go to SettingsBillingUsage History
  2. View detailed breakdown by:
    • Action type
    • Date range
    • Campaign
    • User (for team accounts)

Usage Alerts

Set up alerts to avoid running out of credits:

  1. Go to SettingsNotifications
  2. Enable Credit Usage Alerts
  3. Set threshold (e.g., alert at 20% remaining)
  4. Choose notification method (email, in-app, or both)

Managing Your Credits

Tips to Optimize Credit Usage

1. Use Templates for Common Emails

  • Create email templates for frequent use cases
  • Templates don't use credits (only AI generation does)
  • Personalize templates with merge fields

2. Batch Your AI Generation

  • Generate multiple AI emails in one session
  • Use AI for your best prospects
  • Use templates for broader outreach

3. Verify Emails Strategically

  • Verify before sending to new domains
  • Skip verification for known-good addresses
  • Use catch-all detection to save credits

4. Enable AI Reply Only When Needed

  • Enable AI reply handling for active campaigns
  • Disable for campaigns with low response rates
  • Review AI replies periodically for quality

Purchasing Additional Credits

If you need more credits mid-cycle:

  1. Go to SettingsBilling
  2. Click Purchase Credits
  3. Select credit package:
    • 500 credits - $25
    • 1,000 credits - $45
    • 2,500 credits - $100
    • 5,000 credits - $175
  4. Complete purchase
  5. Credits are added instantly

Note: Purchased credits do not expire and carry over between billing cycles.

Upgrading Your Plan

If you consistently need more credits:

  1. Go to SettingsBilling
  2. Click Change Plan
  3. Select a higher tier plan
  4. Review the changes
  5. Confirm upgrade
  6. New credit allowance applies immediately

Payment Methods

Salestools accepts:

  • Credit/Debit Cards (Visa, Mastercard, Amex)
  • ACH Bank Transfer (US accounts)
  • Wire Transfer (Enterprise plans)
  • Annual billing (10% discount)

Managing Payment Methods

  1. Go to SettingsBillingPayment Methods
  2. Add, remove, or update payment methods
  3. Set a default payment method
  4. View payment history

Invoices

  1. Go to SettingsBillingInvoices
  2. View all past invoices
  3. Download PDF invoices
  4. Email invoices to your finance team

Billing Cycle

  • Monthly plans bill on the same date each month
  • Annual plans bill once per year
  • Credits reset at the start of each billing period
  • Unused credits from your plan allowance do not roll over
  • Purchased credit packs do roll over

Team Credit Management

For Team Admins

If you manage a team account:

View Team Usage:

  1. Go to SettingsTeamUsage
  2. See credit usage by team member
  3. Identify high and low users
  4. Export usage reports

Set User Limits:

  1. Go to SettingsTeamPermissions
  2. Set per-user credit limits
  3. Restrict access to credit-consuming features
  4. Require approval for high-credit actions

Credit Allocation:

  • Credits are shared across the team by default
  • Admins can set individual user limits
  • Usage is tracked per user for reporting

For Team Members

  • View your personal usage in SettingsMy Usage
  • Check remaining credits before high-volume campaigns
  • Request additional credits from your admin if needed

What happens if I run out of credits?

  • AI features will be paused
  • Manual sending and LinkedIn actions continue to work
  • You can purchase additional credits anytime
  • Upgrade your plan for more monthly credits

Do unused credits roll over?

  • Plan credits: No, they reset each billing cycle
  • Purchased credits: Yes, they never expire

Can I get a refund for unused credits?

  • Purchased credits are non-refundable
  • Contact support for billing issues or exceptions
  • Downgrades take effect at next billing cycle

How do I track ROI on credits?

  1. Go to AnalyticsCredit ROI
  2. See meetings booked per credit spent
  3. View reply rates for AI-generated emails
  4. Compare AI vs. template performance
