Configure Your Salestools Workspace and Profile Settings
Manage your profile, team, security, email signature, AI behavior, and API keys from a single, searchable workspace control center.
Settings is your workspace control center — every configuration that isn’t day-to-day selling lives here. The left rail groups everything into four sections: Account, Communication, AI & automation, and Workspace. Use the search box at the top of that rail to jump straight to any tab by name, or follow the deep-links below to land directly on the right panel.
Account
The Account section covers your personal profile, your team roster, your subscription, notifications, security, and API keys.
Go to Settings → Account → Profile. This is the default tab when you open Settings.
2
Update your identity
Under Identity, edit your first name, last name, and phone number. Your email address is displayed but cannot be changed here — it is your sign-in credential. Until you upload a custom photo, your initials appear automatically; your photo can also sync from a connected Google or Microsoft account.
3
Add your work details
Under Work, fill in your job title, company, industry, and country.
4
Set your localization
Under Localization, pick your timezone, interface language, and preferred date format. Click Detect timezone to use your device’s timezone — a live clock confirms the selected zone.
5
Save your changes
Click Save changes. Your timezone drives scheduling and how times appear throughout the app, so keep it accurate. Language and date format save automatically as soon as you pick them.
Your profile timezone controls how times appear to you and how your own scheduling works. Business Hours (under Communication) is a separate setting that controls send windows in each recipient’s local time.
Need to revisit onboarding? The Getting started section has a Show guide button that replays the setup walkthrough.
Go to Settings → Account → Team to see every workspace member with their role badge and status.
2
Invite members
Click Invite to send a single invitation by email, or Import CSV to invite several people at once using a downloadable template. Seat limits vary by plan:
Plan
Max seats
Startup
2
Starter
5
Pro
10
Enterprise
Unlimited
New members join as Member — promote them after they accept the invitation.
3
Manage roles, credits, and access
Use Make manager or Demote to grant or remove manager rights. Click Manage credits to allocate a credit budget and set a low-balance threshold per member. Click Details on any member to review their performance and AI agents. Use Remove when a member leaves.
Members display a role badge — Owner, Admin, Manager, or Member — alongside their status. Both Admins and Managers can manage the team. Owner assignment is handled separately.
If you are at your seat limit, inviting a new member requires either freeing an existing seat or upgrading your plan from the Subscription tab.
Go to Settings → Account → Subscription to see your current plan, credit balance, seat count, and payment method in one card.
2
Change your plan
Click Change plan to open the in-app plan picker. Select a plan and confirm — no need to leave the app.
3
Manage invoices and payment method
Click Invoices or Update (next to your payment method) to open the secure billing portal in a new tab, where you can download invoices and update your card.
4
Renew early if you need credits now
If you have exhausted your monthly credits, Early renewal resets your balance immediately rather than waiting for your next billing cycle.
Enter your current password and a new one. The strength meter evaluates length and character variety — aim for Good or Strong (8+ characters with uppercase, a number, and a symbol).
3
Enable two-factor authentication
Toggle on email-based 2FA. Salestools emails you a 6-digit code that expires in 5 minutes; enter it to confirm the change. Enabling or disabling 2FA always requires a fresh code, so the setting cannot be changed from a stolen session. Once active, you will enter an emailed code each time you sign in.
4
Sign out of this device
Click Sign out this device to end the session in your current browser. Other devices stay signed in until their sessions expire.
There are no 2FA backup codes. If you lose access to your email while 2FA is enabled, contact Salestools support to recover your account.
Go to Settings → Account → Notifications for a grid of notification types grouped by category. Each row has three toggles — In-app, Email, and Slack — that you can flip independently. Click a channel heading to turn that channel on or off for an entire category at once, and use the Filter box to find a specific notification by name.
Slack toggles are only active once a Slack workspace is connected in Integrations. Until then, the Slack column is disabled.
Communication
The Communication section is where you build email signatures, configure your phone and call handling, connect WhatsApp, set up inbound reply routing, define business hours, manage Do Not Contact lists, and connect LinkedIn accounts.
Edit the master signature — the default applied to every mailbox. Write it in HTML and insert variable chips such as {{name}}, {{email}}, {{title}}, {{phone}}, and {{company}} that fill in automatically when mail is sent. Click Show preview to render it with sample data, or Load default template to start from a ready-made layout. Click Save signature when finished.
3
Override per mailbox
Each connected mailbox shows its current signature mode. Click Edit signature and choose Use master, Custom (a signature unique to that mailbox), or No signature. To push your master signature to every mailbox at once, click Apply master to all — this overwrites any per-mailbox customizations.
Connect at least one mailbox in Integrations before per-mailbox signature controls appear here. Changing signature settings requires admin access.
AI & automation
The AI & automation section controls how Sally drafts, researches, and behaves autonomously.
Prompt editor — Edit the underlying prompts that power every Sally workflow. Changes here propagate to all agents that reference each prompt immediately.
AI behavior settings — Tune autonomy, tone of voice, CoPilot approval thresholds, the Healing Agent, and Adaptive Intelligence.
The Permissions and Prompt editor tabs are visible only to team admins. If you do not see them, ask a workspace Owner or Admin to grant you access.
Workspace
The Workspace section gives you control over API access and per-role permissions.
Go to Settings → Account → API keys. These long-lived keys connect Salestools to tools like Zapier and your own scripts or integrations.
2
Create a key
Click Create API key, give it a clear name so you can recognize it later, and confirm.
3
Copy the secret immediately
The full key is shown only once. Copy it right away and store it somewhere safe — you can view only a truncated preview from that point on.
4
Revoke a key
To retire a key, click Revoke on its row. Revocation takes effect immediately for any integration using that key.
If you lose an API key, you cannot recover it. Revoke the old key and create a new one. Every key inherits your full account access — treat each one like a password and revoke any you no longer use.
The Permissions tab lets team admins define what each role (Owner, Admin, Manager, Member) can see and do across the workspace. If you do not have access, the tab is hidden from the rail. Contact a workspace Owner or Admin to adjust your permissions.
